Reporting - Customer and Product Queries

Permissions Needed:

  • Reporting - Customer/Product Query Tools: Ability to create custom reports based on customer sales history and the product information stored in your system. Excellent tool for analyzing customer purchases for targeted advertising.
 

The Customer and Product query tools let you easily create custom reports in Ascend to fit your needs.

Accessing Customer and Product Query

From the Ascend desktop, click the Reports tile. Then click the icon near the top to open the query screen you want.

How do I know which report to use?

The great thing about the Customer and Product queries, is the give you the same results. It is just a matter of how the results display and the Search Criteria available.

Customer Query

When you use the Customer Query, it displays all of the customers (and no customer) associated with the Search Criteria you've set. The Customer information displays on the top-half of the screen and the product on the bottom half.

Let's say you'd like to see the customer's that have purchased any product(s) within all Accessories categories. You'd run a Customer Query > Sales report in a date range and use the Category filter with Accessories selected.

Create a Customer Query

  1. Choose a Report Type using the dropdown menu. 
    1. Note: The report type options vary based on if you're creating a Customer or Product Query
  2. Set a date range or check the box for All Dates instead
  3. Decide how your results should appear using Order By (it will default to Selling Price).
  4. Choose the Sort Order (it will default to High to Low).
  5. Under Return Set, All is selected by default - but you can change that to Top by Number or Top by Percent to see specific results

  1. Use the Search Field dropdown and the Search Constraint dropdown, and type a keyword in the Search Criteria box, if needed.
  1. Use the Filters on the right side to narrow down your results even more.
    1. For example, check the box for Category to see all the categories in the shop in the next column. Now check the box for Accessories.

Note: When you select the Top Level Parent Category, it includes all Child Categories. If you select a Parent Category (Bikes - Road), you'll need to select the Child Categories (Bikes - Road - Carbon and Bikes - Road - Aluminum) you'd like included as well.

Note: If you select Vendor filters, keep in mind that once an item is received, Ascend cannot tell which vendor the product came from. Products will display for every vendor you could possibly receive the product from - so if it isn’t a proprietary item, you could get duplicated quantities for each result.

  1. Look at the lower left field, where you can see an auto-generated summary of the report being generated.

  1. Click Execute.

Customer Query Results

When you single click on the Customer name, the Product(s) they purchased within the Search Criteria will be displayed.

Using Totals Only

If needed, select the Totals Only icon. This is a great tool to see total sales, COGS, Discounts, etc. over a period of time for all your products, specific categories, Work Orders, and so on.

Product Query

When you use the Product Query, it displays the products from within the Search Criteria on the top half and the customers that purchased the specific product(s) on the bottom half of the screen.

Product Query is a great tool if you want to see the customers that purchased as specific product as you can run the Product Query by as specific SKU (Store UPC). Perhaps you want to reach out to any customer that has purchased a Garmin Fenix and let them know about the newest upgrade or a Promotion you are running in-store.

Create a Product Query

  1. Choose a Report Type using the dropdown menu. 
    1. Note: The report type options vary based on if you're creating a Customer or Product Queryroduct Query
  2. Set a date range or check the box for All Dates instead

Product Query Results

When you single click on the Product on the top half, the Customer(s) that purchased the product within the Search Criteria will be displayed on the bottom half.

Working with the Results

After you run your report, you can do a lot with the results.

You can print, email, or export these results as needed - the icons in the middle apply to the that table of data, while the icons in the lower part of the screen apply to those results.

Or print Mailing Labels for the customers using the Label icon. But you might want to check the box for Add “Or Current Resident” to Mailing Labels first.
