Sell a rental item

If you have a demo fleet, you’ll want to switch out your models when new versions come out. Maybe you swap out your rental fleet yearly. Or maybe a customer just really fell in love with the bike they rented for the week and wants to take it home with them. Whatever the reason, Ascend makes it easy for you to move a rental item out of your fleet and back into your inventory so you can sell it.

Move to store stock

  1. From Database Explorer > Reservations > Rental Products, select the appropriate product.
  2. In the bottom pane, select the Rental Item(s) you wish to make sellable and click the Sell button (cart icon on the lower toolbar). The Inventory Adjustment dialog box displays.
    Note: Only local Rental Items with Status Available can be moved to inventory.
  3. If a UPC was entered for the Rental Product, the corresponding in-store product is automatically selected. If necessary, use the Search field to select the in-store product you’ll use to sell the item.
    Note: If you don’t want the Rental Item to affect the cost or margin for a current model, create a new in-store product for sales of “used” versions of the model.
  4. If a Cost was entered for the Rental Item, it is automatically entered in the Unit Cost field. If necessary, enter a value.
    Note: Unit Cost will be used to calculate your Average Cost for the in-store product.
  5. TypeActionQuantity, and Serial Number (if entered for the Rental Item and if the in-store product is in a serialized category) are automatically selected.
  6. If desired, add to or edit the automatically generated Comments.
    Note: Keep the Rental Item Number and Rental Product Description entered for future reference.
  7. Click the Save button. The Rental Item is removed and added to your store’s available inventory.

Sell directly to a customer

  1. From a Reservation, click the Sell button (cart icon) next to the Rental Item you wish to sell. The Inventory Adjustment dialog box displays.
    Note: Rental Items must be checked in before they can be sold.
  2. If a UPC was entered for the Rental Product, the corresponding in-store product is automatically selected. If necessary, use the Search field to select the in-store product you’ll use to sell the item.
    Note: If you don’t want the Rental Item to affect the cost or margin for a current model, create a new in-store product for sales of “used” versions of the model.
  3. If a Cost was entered for the Rental Item, it is automatically entered in the Unit Cost field. If necessary, enter a value.
    Note: Unit Cost will be used to calculate your Average Cost for the in-store product.
  4. TypeActionQuantity, and Serial Number (if entered for the Rental Item and if the in-store product is in a serialized category) are automatically selected.
  5. If desired, add to or edit the automatically generated Comments.

  6. Click the Save button. The Rental Item is removed and added to your store’s available inventory, and the Reservation screen redisplays.
  7. Click the Save & Pay button. The Rental Charges and appropriate in-store products are added to the transaction.
  8. Complete the transaction as normal.
