Where can I find the lease integration?
The lease button to submit a quote to KBC in Ascend can be found in Ascend HQ; you can access it via https://hq.ascendrms.com or via the Ascend HQ button in Ascend (see the image below).

When you are logged in to Ascend HQ, you will see the 'leasing' option in the menu on the left side, which opens the leasing menu:

Connect to KBC via Ascend HQ
Before you can start submitting a lease request, the KBC/RentaSolutions login details must be entered into Ascend HQ. You will receive these login details via email from RentaSolutions.
You enter data into Ascend HQ as follows:
In Ascend HQ, go to 'parameters' and then to 'references'. Next, click on the name of the store, and below that, you will have the option to enter your RS number (RentaSolutions customer number) and your login details. Complete the RS number with 001; see the image below. Once you have entered this, click 'save'. After you have done this, you can start creating a lease.

Create a new lease contract
You start by creating a quote in Ascend as usual. Ensure that the customer name does not contain any numbers. The products in the quote must include a description, brand, UPC, size, cost, color, and year. If any of these are missing, registering the lease later will result in an error message.
Additionally, you must enter each product individually. So, if you sell 2 tires with the bicycle, you list one tire twice. If you list the tire with a quantity of 2, the KBC system only records the product once.
Please note: do not include the KBC commission discount on the quote. They will settle this themselves later.

To register the lease contract in the following steps, you need the barcode number of the quotation. You can find this when you are in the quotation; in the menu bar at the top, under 'Tools', you will find the option 'copy the sales barcode number'. You can also do this by using Control+Alt+B in the quotation.

After you have completed the quotation in Ascend , go to 'Leasing' in the Ascend HQ menu and then to 'Overview'. There you will see the screen where you can register a new lease contract by pressing the 'Start request' button.

After you have pressed 'Start Request', you will receive a pop-up where a number of details need to be filled in, as shown in the image below.
At A, enter the KBC contract number. At B, enter the barcode number of the quotation (see step 2). At C, select 'KBC'. Once all this is entered, press 'continue'.

After pressing 'continue', proceed to the next screen. Here, you check the entered customer details and enter additional information regarding A. the lock and B. the type of bicycle. Please note: The Velopass number does not need to be entered here yet, even if it concerns a Speed-pedelec. This will be required later in the process.
The bicycle listed in the quotation will appear under C.; please check that all information about the bicycle is correct. Additionally, the accessories will be listed here.
Once everything has been checked, press 'submit request'.

The status of the lease application now changes to 'Validation', and you will see the 'Validate Data' button at the top; click on this. This will redirect you to the Rentasolutions website. There, too, some additional information needs to be provided. At A, select the type of bicycle from the drop-down menu. At B, indicate whether it is a women's, men's, or unisex frame. At C, indicate the size: please note that you may only need to do this on the right, depending on the type of size designation. The purple-outlined boxes at D are optional: these may be filled in, but it is not mandatory.
Additionally, you specify which maintenance package is required and place the accessories in the correct category.

At the bottom, check if the expiration date is correct; you can adjust this if necessary (until when is the quote valid?). If everything is correct, tick the bottom box and press 'confirm'.

The status of the lease request will remain on 'Validation' until the request has been verified by KBC. You can find your lease requests in Ascend HQ, under 'leasing' in 'leasing requests'.

As soon as the application has been reviewed and approved by KBC, the status changes to 'Order'. From here, you can either proceed with the application, or cancel if the customer has changed their mind or there is another reason for cancellation. If you cancel the order, you must provide a reason.

When you finalize the order by pressing 'continue', a pop-up appears asking for the expected delivery date. Enter this and then press 'Place Order'. The status then changes to 'accepted'; this also needs to be reviewed by KBC. Once this is done, the status changes to 'Delivery Preparation'. You then also convert the order in Ascend from a quotation to a sale.
Depending on the type of bicycle (with or without a license plate) listed in the application, additional information will be requested. In the case of a bicycle with a license plate, this concerns the registration details of the license plate (you can upload these files), the bicycle's VIN number, and the Velopass number. If it is a bicycle without a license plate, then only the frame number and Velopass number are required.


Once the correct information has been entered, press 'send information to KBC'. The application will then be reviewed again by KBC.
Once the request has been reviewed and approved, the status of the request changes to 'Ready for pickup'. The moment the bike is ready and the customer is at the store to pick it up, you open the request and the system asks for 'rider information'. Here you enter the date of birth and place of birth.

Once you have entered the rider information, press 'confirm delivery'. This completes the lease application. Check if the payment arrives in Ascend , and once the payment has been received, you can close the order in Ascend .
