Inventory Center - Reconciliation: Analyze and Reconcile Inventory

Before You Begin Analyzing Results

  • Run a database backup on the server (File > Backup).
  • Printed, saved, or emailed a copy of your Inventory by Category Summary report (to have pre-reconcile inventory totals).

Wait to remove your blue tape and section numbers until you complete Analyzing your results. It can be really helpful to have these accessible in case you need to go back to a specific section for verification or discrepancies. 

Analyze Results

  1. From the Inventory Event, Click the Reconcile icon in the top toolbar

  1. Next, select the Category/Categories that you have scanned for. If you are doing a full store inventory, select all categories.
  2. Click Continue.

  1. The results will be displayed in the Reconcile screen.
  2. Recommended ways/order to Analyze the results:
    1. Discrepancies: It is possible to fix some of the discrepancies you will need to leave the reconcile screen. For more information on resolving discrepancies, check out our article, Inventory Center - Reconciliation: Resolve Discrepancies.
    2. Sort New Qty column: This helps to catch any quantity issues that could have been missed (e.g.: Case Qty items scanned as individual quantities, a sudden increase in an item that perhaps in miss labeled, etc.).
    3. Sort New Ext Cost column: This helps to catch any qty or case qty issues that could have been missed.
    4. Sort Difference column: This helps to catch any large decreases or increases between Old Ext Cost and New Ex Cost.

Updating the New Qty

Remember that if you begin modifying the New Qty and have to back out of the reconcile screen, you will lose any of the updates made to the New Qty.

 
  1. If you'd like a copy of your results after Analysis, click Export from the top toolbar. This will export the results to excel.
  2. Once you have finished Analyzing results, it is time to Reconcile.

Reconcile Results

  1. Click Reconcile in the top toolbar.

  1. If you are really ready, click Yes to the Reconcile Inventory prompt. If you want to go back to the results, click No.

  1. The Reconcile progress bar will display
  2. Click Ok to the Reconciliation complete prompt.

  1. If you'd like to print a copy of the Inventory by Category Summary Report, Click Yes to the prompt. If you'd like to save or email a copy of the report, click No to the prompt. You can do that from within Reports > Inventory folder > Inventory by Category Summary.

  1. From the Reconcile screen click the Back button. 

If you receive the message below after hitting the Back button, your reconcile results have not been saved/updated. Click No to the prompt and click Reconcile again. If you cannot Back out of the Reconcile screen without the message popping up, contact Ascend Support.

 

Post Reconcile

  1. Run a database backup on the server (File > Backup).
  2. Print, save, or email a copy of your Inventory by Category Summary report (to have post-reconcile inventory totals to compare with the pre-reconcile).
  3. Download the Post-Inventory Shrink Adjustments Query from the Ascend ShareFile/Retailer Portal. 
    1. Open the document and copy all available text.
    2. Select Reports > SQL Query in Ascend. If you are not familiar with running a custom query, check out our article, Reporting - How to Run a Custom Query.
    3. Paste the text in the upper portion of the screen.
    4. Select Execute.
    5. You'll get a date prompt. These dates should correspond with the date of your last full-store inventory and the current full-store inventory.
    6. Then click OK.
    7. The results will display. You can export the results to Excel by selecting the Export icon, if needed.
      1. If you want to know your total shrink value for this full-store inventory, export the report to Excel and then add up the Monetary Change column to get the total value.
